Power Automate vs n8n: Which is right for your SME?
I use both tools in my work almost every week. Clients often ask: which one is better? The answer is honest but unsatisfying — it depends.
In this article I go through the strengths and weaknesses of each, and explain when I would choose which.
Power Automate: Master of the Microsoft ecosystem
Power Automate is Microsoft's own automation tool, and it shows. If a company runs on Microsoft 365, Power Automate is often the natural first step.
Strengths:
- Native M365 integration. Outlook, Teams, SharePoint, Excel, Dynamics and hundreds of other Microsoft services connect easily without technical configuration.
- No-code interface. Simpler workflows can be built without programming skills.
- Security and GDPR. Data stays within Microsoft's infrastructure, which makes IT sign-off easier and typically satisfies European data protection requirements.
- Basic licences included in M365 plans. No extra cost for smaller use cases.
Limitations:
- Closed ecosystem. Connecting to services outside Microsoft can be awkward or expensive.
- Pricing can climb quickly if workflows run frequently or there are many of them.
n8n: Flexible and open
n8n is an open-source automation platform built with flexibility first. It does not lock you into any ecosystem.
Strengths:
- Wide range of integrations. Over 400 built-in connectors cover Slack, HubSpot, Google Workspace, Airtable, Stripe and hundreds more.
- Open source. You can self-host n8n on your own server or use n8n's cloud service. No vendor lock-in.
- Better pricing at scale. For intensive use, n8n is often significantly cheaper than Power Automate's per-run pricing model.
- Complex workflows. Multi-system, branching workflows are cleaner and easier to manage in n8n.
Limitations:
- Requires more technical understanding than Power Automate.
- M365 integrations work, but are not as seamless as in the native tool.
Which should you choose?
Rules of thumb I use myself:
- Microsoft 365 is the backbone of the business and automations mainly involve its services: choose Power Automate.
- You need connections across multiple different systems, for example CRM, e-commerce and accounting in one workflow: choose n8n.
- A team without a technical background will be building workflows themselves: Power Automate is easier to start with.
- Budget is tight and you will have many automations: n8n is typically cheaper over the long run.
I never choose a tool before knowing what needs to be automated and in what environment. The right tool for the wrong problem does not save time — it adds friction.
